Clientaly
Compliance

The file is already built
before anyone asks for it

Most advisors assemble their compliance evidence in a panic, months after the advice was given, from memory and a folder of PDFs. Clientaly records it as the work happens — so the file is complete because you did your job, not because you spent a weekend reconstructing it.

Why this is the part that matters

Any CRM can hold a name and a phone number. What separates a practice that sails through a review from one that does not is whether the reasoning behind each recommendation was written down at the time — and whether anyone can prove it has not been edited since.

Needs analysis completed with the client, output as a signed PDF, and written to a locked audit record
Reason-why letters that capture what you recommended and why you recommended it
Consent history with change detection, so you can show what was agreed and when it changed
Access logging on sensitive records — who opened what, and when
Subject-access requests handled properly: access, correction and withdrawal, on a clock
Versioned legal documents with immutable acceptance records
evidence · built as you work
↑ the file exists before anyone asks

Signed, and provably unchanged

A PDF sitting in a folder proves very little. It can be edited, replaced, or dated after the fact. Clientaly signs the document and writes a locked record of exactly what was signed — so the copy you produce years later is demonstrably the copy the client agreed to.

Captured at the time

The analysis is completed with the client in front of you, not reconstructed from notes afterwards. That difference is the whole point of the exercise, and it is the first thing a reviewer looks for.

Signed by the client

The client signs the document itself. No separate signing tool to reconcile, no version of the truth sitting in a third-party account you do not control.

Locked afterwards

What was signed is written to a record that cannot be quietly amended. If the advice changes later, that is a new record with its own date — not an edit to the old one.

Privacy obligations that do not wait for you

PIPEDA gives your clients rights with deadlines attached, and those deadlines run whether or not you noticed the request. Clientaly treats them as workflow rather than paperwork.

Access, correction, withdrawal

A client can ask what you hold, ask you to fix it, or ask you to stop. Each type is handled as a tracked request with a deadline, not an email you meant to get back to.

Consent that has a history

Consent is not a checkbox you ticked once. Clientaly keeps the history, notices when it changes, and keeps the record of what was in force at any given date.

Do-not-contact respected everywhere

Marking a household do-not-contact holds across email, renewals and reminders at once. It is not a flag one screen honours and another ignores.

Deceased clients handled with care

A deceased client is excluded from reminders and birthday notices automatically. The worst message your practice can send is one nobody meant to send.

Built by someone who has to use it

Clientaly is built and run by a practising Canadian insurance advisor, on a live book. The compliance side exists because the alternative was a spreadsheet and a lot of hoping — not because a product team decided it would sell. Everything here is in daily use before it is offered to anyone else.
